This Privacy Policy explains how FlySociable collects, uses, shares, stores, and deletes personal data in connection with the FlySociable mobile apps, websites, APIs, live flight features, social features, support tools, and related services.
Who we are and how to contact us
FlySociable is the operator of flysociable.com and the FlySociable aviation social platform. For privacy questions, data protection requests, account deletion, or support, contact [email protected].
For UK data protection purposes, FlySociable acts as the controller for account, profile, content, live flight, support, safety, and usage data processed for the service, unless a feature clearly states otherwise.
Scope
This policy applies to FlySociable accounts, profile features, Flight Deck posts, Crew and messaging features, Live Flights, replay, PFD-style sensor displays, notifications, media uploads, support, moderation, academy-related features, websites, and backend services.
Personal data we collect
Depending on the features you use, we may collect and process:
- Account and authentication data: name, username, email address, phone number if provided, password authentication state, login method, verification state, session data, security events, and account deletion or support request records.
- Profile data: avatar, cover image, bio, aviation interests, rank, achievements, academy affiliation, aircraft information, location labels you choose to add, public profile activity, and settings.
- User content: posts, comments, debriefs, Wings, shares, reports, messages or conversation metadata where enabled, uploaded images or videos, and other content you submit.
- Live flight and location data: GPS location, route points, speed, altitude, heading, timestamps, flight status, replay data, and related telemetry when you start a Live Flight or use location-based flight features.
- Device sensor data: motion, compass, accelerometer, gyroscope, orientation, and GPS-derived values used to display PFD-style or replay experiences. These values may be inaccurate and are not certified aviation data.
- Camera, photos, and media permissions: images, videos, camera captures, file metadata, and media you choose to upload for profiles, posts, stories, reports, academy content, or support.
- Notifications data: push notification tokens, device platform, notification delivery status, and notification preference or interaction data.
- Technical and usage data: IP address, device type, operating system, app version, identifiers needed for security or diagnostics, request logs, crash and error logs, performance data, abuse-prevention records, and audit logs.
- Support and moderation data: emails, support messages, deletion requests, reports, screenshots or links you provide, admin notes, moderation decisions, safety reviews, and records needed to resolve issues.
- Academy and portal data: academy account details, representative contact information, profile submissions, review status, affiliation requests, public academy content, and academy support communications where those features are used.
Data we do not intentionally collect
FlySociable is not designed to collect financial card data, government identity numbers, health data, or special category data. Do not submit sensitive documents or private information unless a specific FlySociable workflow asks for it. If you choose to include sensitive information in posts, messages, support requests, reports, or uploads, we may process it only to provide, moderate, secure, or support the service.
How we use personal data
We use personal data to:
- create, authenticate, protect, and manage accounts;
- provide profiles, Flight Deck posts, comments, Wings, Crew interactions, messaging where enabled, academy features, and user settings;
- provide Live Flights, route sharing, replay, flight summaries, PFD-style displays, and related status information;
- display user-published content to the audience selected by the feature or settings;
- send service notifications, safety notices, account notices, and support replies;
- process reports, moderation actions, account deletion requests, privacy requests, and support cases;
- prevent fraud, spam, impersonation, abuse, unsafe content, unauthorised access, and security incidents;
- debug, monitor, maintain, and improve service reliability and app quality;
- comply with legal obligations, enforce terms, resolve disputes, and protect rights, users, and service integrity.
UK GDPR lawful bases
Where UK data protection law applies, we rely on one or more lawful bases depending on the context:
Location, background location, and permissions
Precise location and background location are used only for user-visible Live Flight and flight tracking functionality. Tracking is intended to run only while a Live Flight session is active and to stop when you end the session. The app may request foreground location, background location, foreground service location, notification permission, camera permission, and media permissions only where needed for app features.
You can deny or revoke permissions in your device settings. Some features, such as Live Flight tracking, route replay, camera capture, media upload, or push notifications, may not work without the relevant permission.
Sharing and disclosure
We do not sell personal data. We may share or make personal data available as follows:
- Other users or the public: content, profile details, academy details, comments, Wings, live flight visibility, or other information you choose to publish or share through the service.
- Service providers: hosting, storage, database, email, notification, authentication, analytics, monitoring, security, crash reporting, support, and infrastructure providers who help operate FlySociable under appropriate confidentiality and security obligations.
- Moderators and administrators: authorised FlySociable staff or contractors who need access to operate, support, secure, review, or moderate the service.
- Legal and safety recipients: regulators, law enforcement, courts, emergency or aviation safety authorities, professional advisers, or relevant parties where required by law or necessary to protect users, safety, legal claims, security, or service integrity.
- Business transfers: relevant parties in connection with a merger, acquisition, financing, restructuring, or sale of all or part of the service, with appropriate notice where required.
International processing and transfers
FlySociable, its infrastructure, and service providers may process personal data in the United Kingdom, the European Economic Area, the United States, and other countries. Where UK data protection law requires safeguards for international transfers, we use appropriate safeguards such as adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to EU Standard Contractual Clauses, or other lawful transfer mechanisms.
Retention and deletion
We keep personal data only for as long as reasonably necessary for the purposes described in this policy, unless a longer period is required or permitted by law.
- Account, profile, settings, user content, academy content, and live flight/replay records are normally kept while your account is active or while the content remains available in the service.
- Support, moderation, account deletion, safety, audit, and dispute records may be kept for up to 6 years where needed for legal, safety, fraud prevention, dispute, or service integrity reasons.
- Security logs, server logs, crash logs, and diagnostic records are normally kept for up to 24 months unless needed longer for security, abuse prevention, legal, or operational reasons.
- Backups are overwritten or deleted on a rolling basis, normally within 90 days, unless preserved for security, legal, or disaster recovery reasons.
- When you request account deletion, we aim to begin processing the request without undue delay and normally complete deletion or anonymisation of eligible account data within 90 days after verification, subject to data we must keep for legal, safety, fraud prevention, dispute, or security reasons.
Account and data deletion
You can request deletion in the app where available or through our web deletion page at flysociable.com/account-deletion. You can also email [email protected] from the email linked to your account. We may need to verify that you control the account before deleting it.
Your privacy rights
Subject to applicable conditions and exemptions, you may have rights to:
- be informed about how your personal data is used;
- request access to your personal data;
- request correction of inaccurate or incomplete personal data;
- request deletion of personal data;
- request restriction of processing;
- object to processing based on legitimate interests;
- request data portability where applicable;
- withdraw consent where processing is based on consent;
- complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
Children
FlySociable is not directed to children under 13. If you are under 13, do not create an account or use the service. If you believe a child has provided personal data to FlySociable, contact us so we can review and take appropriate action.
Security
We use technical and organisational measures designed to protect personal data, including HTTPS in transit, access controls, authentication controls, logging, monitoring, backup practices, and restricted administrative access. No online service can guarantee absolute security. Keep your login credentials secure and contact us promptly if you suspect unauthorised access.
Automated decisions
FlySociable does not intend to make solely automated decisions that produce legal or similarly significant effects about users. We may use automated rules, logs, or risk signals to detect spam, abuse, security threats, or policy violations, with human review where appropriate.
Changes to this policy
We may update this Privacy Policy as the service, legal requirements, or store requirements change. Material changes will be reflected by updating the date above and, where appropriate, by providing in-app or website notice.
